An international hydraulic breaker parts order is easier to check when the agreed product references, order lines and package identification stay connected. Before dispatch, review the final list and document requirements. At receipt, use the same record to identify the shipment, compare quantities and report any differences clearly.
Create one controlled order reference
This checklist begins after the required parts have been identified and the proposed supply has been discussed. If you are still working out which part you need, start with the breaker parts identification guide. For a first inquiry, use the product inquiry checklist.
Keep one order reference on the correspondence, agreed parts list and supporting files. Record the current revision or confirmation date. When an item, quantity or destination changes, describe the change explicitly and ask for the affected records to be reconfirmed. An old drawing or earlier quotation should remain identifiable as an earlier version.
Share the current record with the person placing the order and the person receiving the goods. This gives both teams the same reference when similar-looking components arrive together.
Match order lines with the agreed parts records
Review each line against the product details that were agreed during identification. Use a clear description and the confirmed reference where one is available. Keep the applicable breaker identity or configuration beside the item when this is needed to distinguish it from another part.
- Order line: Use a distinct line number for each requested item.
- Product identity: Keep the agreed part name, reference and applicable drawing revision together.
- Quantity: State the number of individual items and clarify the contents of any agreed set.
- Supporting file: Connect the line with its approved drawing, photograph or other identification record.
Do not let a package count replace the item quantity. Several parts may be packed together, while one order can contain several packages. Ask for these relationships to be clear in the final record.
Agree package identification and document needs
Tell NEWLAND who will receive the shipment and which destination or handover location has been agreed. Ask how the order reference, package identifiers and item references will appear on the packing records. If your receiving team needs a particular label or identification format, raise that requirement before the package information is finalized.
Provide any document requirements from your purchasing team or appointed shipping contact for review. Confirm which documents will be supplied and how product descriptions and quantities will be presented. Requirements for the shipment should be agreed against the actual order; a general website description does not establish the document package.
Keep packing, marking and handling requirements in the order discussion. The proposed packaging and transport arrangements need confirmation for the specific goods and destination. Do not assume a particular package construction, shipping method or delivery date applies across the parts range.
Check the dispatch records against the order
When dispatch information becomes available, compare it with the current confirmed order. Check that the reference, recipient information, item descriptions and quantities correspond. Review the package identifiers and any recorded package dimensions and weights. Keep the stated units with the figures.
If an order is split into more than one dispatch, ask which lines and quantities belong to each shipment and how the outstanding balance is recorded. Treat the split as an arrangement to confirm, rather than an assumed service. Save the updated record with the original order reference.
The product matching and supply page outlines the information to keep together as the supply scope is agreed. Resolve conflicting records before relying on them for the receiving plan.
Keep a clear receiving and discrepancy record
At receipt, follow your site’s handling procedures and match the visible shipment identifiers with the available delivery records. Record the arrival date, package identifiers and any visible external condition observations through the receiving process. Keep photographs associated with the correct package and order reference.
When your team completes its goods check, compare the received items and quantities with the agreed line list. Record a difference precisely: the order line, expected reference or quantity, what was received and the relevant photographs. Keep a component whose identity is uncertain clearly labeled while the discrepancy is reviewed. Appearance alone does not establish that it is the correct replacement part.
Preparing an order with several breaker parts? Send NEWLAND your numbered parts list and proposed destination requirements. Ask for the product, package identification and document scope to be confirmed together so your purchasing and receiving teams can work from the same record.
