How to Prepare a Product Inquiry

Put the product, machine and destination in one clear request. Include what you know and label any details that still need confirmation.

Excavator quick coupler

Choose the right starting information

A complete breaker, replacement part and quick coupler each require a different brief. Start by saying which product you need and whether you are replacing an existing item or considering a new configuration. When enquiring about multiple products, give each its own reference and quantity.

You do not need to resolve every technical question before contacting NEWLAND. An accurate partial brief is more useful than an assumed specification. Mark unavailable information as unknown so it can be addressed during the review.

ProductInformation to prepare
Complete hydraulic breakerCarrier brand, full model, operating weight, intended application, documented hydraulic information and mounting arrangement.
Breaker partsBreaker brand, model, serial number or version, part name, available part number, photographs and existing measurements.
Quick couplerCarrier identity, existing coupler details if applicable, intended attachments, connection requirements and available mounting drawings or dimensions.

Add quantities and the delivery destination

State the required quantity for every product line. If you are asking about both an initial order and possible repeat purchases, separate those quantities. Provide the destination country and city or intended port so delivery arrangements can be discussed against the actual request.

Mention a preferred delivery date, purchasing schedule or tender deadline as a requirement, rather than assuming a lead time. If you need a particular packing arrangement or supporting document, include it in the brief for confirmation. Price, availability, packing, shipping scope and timing depend on the reviewed inquiry and quotation.

Organize the supporting files

Attach legible plate photographs and relevant product images or drawings. Give files simple names that connect them with the inquiry lines, such as the product description followed by a view or reference. If there are several similar parts, identify which photographs belong to each one.

Keep images focused on the equipment and requested components. Crop out unrelated people, personal documents, screens and other information that does not help identify the product. Check that the model, serial reference and any measurement units remain readable. Where a file shows an earlier version or a modified component, explain the difference in the message.

Review pricing and included items against the agreed configuration

Before placing an order, check that the quotation identifies the proposed product, configuration, quantities and included items. Confirm which mounting or connection components are included, where relevant, and resolve any remaining questions about compatibility or the delivery scope.

A quotation should follow the reviewed configuration. If your machine, application or requested part changes, ask for those changes to be reviewed before proceeding. An inquiry acknowledges the information you supplied; it does not by itself confirm fitment, stock or an order.
